Is your master data consistent?

Very few companies operate system landscapes without redundant master data, as no single system can cover all processes of an organization. In addition, operational systems such as Microsoft Dynamics, Salesforce, or SAP S4/HANA store and manage their own master data. This leads to inconsistencies, as customer, material, product, or supplier master data are often maintained in several systems simultaneously. Without Master Data Management, discrepancies between datasets quickly arise.

What Dropbox or Google Drive are for files, MDM is for an organization’s central master data objects. It enables real-time matching when records are created or modified. MDM systems typically function as a central data hub, embedded into the system landscape and connected via web services or APIs. This ensures that data remains consistent — even across multiple systems.

Identify relevant data objects and systems

Master Data Management should be used selectively due to its complexity. It is crucial to define the scope of an MDM project clearly at the start. Only business-critical master data used across systems should be synchronized initially. Additional data objects and systems can be added later.

Develop a global data model

The core of an MDM system is a globally usable, system-independent master data model. Many MDM vendors provide predefined models that must be adapted to the company’s specific needs.

Create mapping to local data models

Each system has its own data structures. To ensure long-term integration of master data across systems, mappings between local data models and the global MDM data model are required.

Connect source systems

All relevant source systems must be connected to the MDM — usually via web service–based interfaces or APIs, often with near real-time data exchange via push or pull principles.

Matching

Due to redundant data storage, duplicates naturally arise. Fuzzy logic is used to identify them as precisely as possible. Algorithms differ by data object and organization and are typically iteratively refined with domain experts.

Create "Golden Records"

For identified duplicate groups, one consistent, cross-system master record must be created — the “Golden Record.” Defined using expert logic, it serves as the basis for reporting and synchronization of consistent master data back into the source systems.

Define synchronization rules

Every system has its specifics. It must be clearly defined which fields may be changed, under which events, and through which processes. The goal is to keep source system data consistent and up to date without causing new issues (e.g., incorrect stock levels due to unit-of-measure changes).

Test, test, test

The complexity of MDM should not be underestimated. With each test, the maturity of the MDM increases. In agile environments, dedicated sprints for testing and refinement should be planned well before go-live.

Go-live

At the end of an MDM project, the most important master data in source systems are kept consistent. In addition, MDM provides the foundation for achieving a full 360° view of the business object.
